Who we are
Players Nearby is an independent platform for finding and joining public sports sessions. We are the data controller for personal data collected through this service.

Data we collect
Email address: Required for login. Used only for authentication and transactional notifications.
Display name: Optional. Shown to other users on session pages.
Bio: Optional. Shown on your public profile.
Sport profiles: Optional. Sport preferences and skill levels you add to your profile.
Session data: Sport, title, location, start and end times, and capacity for sessions you create.
Participation records: Which sessions you have joined or hosted.
Guest name: If you join a session without an account, your chosen name is stored with that session only.
We do not collect payment information, device location, or any data from advertising networks.
How we use your data
We process your data on the basis of contract performance (to operate the service you signed up for) and legitimate interest for operational reliability and security.
Authenticate you via magic link email.
Display your profile and sessions to other users.
Send transactional emails: login links and session cancellation notifications.
Your data is never sold, rented, or shared with third parties for advertising purposes.
Third-party processors
We use the following sub-processors to operate the service. Each is bound by data processing agreements and applicable data protection law.
Railway: Backend hosting and PostgreSQL database. EU West region (Frankfurt, Germany).
Vercel: Frontend hosting and CDN delivery.
Resend: Transactional email delivery (login links, notifications).
Sentry: Error tracking and diagnostics. Errors may include limited request metadata.
Where your data is stored
All personal data is stored in the EU West region (Frankfurt, Germany) via Railway. This meets GDPR requirements for EU data residency.
Data retention
Your data is retained for as long as your account is active. Deleting your account permanently and immediately removes all personal data: email, profile, sport preferences, session records, and participation history. This action is irreversible.
Cookies & local storage
We do not use third-party tracking cookies or analytics. No cookie consent banner is required. We use browser localStorage only for functional purposes: your authentication token (JWT) and temporary guest tokens for sessions you join without an account. This data never leaves your device except as part of normal API requests to our servers.
Your rights under GDPR
Right to access: Request a copy of the personal data we hold about you.
Right to erasure: Delete your account at any time from Profile → Edit profile. This immediately hard-deletes all your data.
Right to rectification: Correct inaccurate data. Update your name, bio, and sport profiles directly in the app.
Right to portability: Request your data in a machine-readable format.
Right to restriction: Request we limit how we process your data in certain circumstances.
Right to objection: Object to processing carried out on the basis of legitimate interest.
